Students could even download their own extensions and apps, with little oversight or consistency. There was no central process, no standard way to check privacy, and content coordinators weren\u2019t always involved in decision-making.<\/p>\n<p><!-- \/wp:paragraph --><!-- wp:heading --><\/p>\n<h2 id=\"h-building-a-structured-process\" class=\"wp-block-heading\">Building a Structured Student Data Privacy Process<\/h2>\n<p><!-- \/wp:heading --><!-- wp:paragraph --><\/p>\n<p>Fast forward to today, and it\u2019s a very different story. Fayette County has established a clear, multi-step process for evaluating new digital resources:<\/p>\n<p><!-- \/wp:paragraph --><!-- wp:list --><\/p>\n<ul class=\"wp-block-list\">\n<li style=\"list-style-type: none;\">\n<ul class=\"wp-block-list\"><!-- wp:list-item --><\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li><strong>School-Level Conversations:\u202f<\/strong>Teachers first discuss app needs within their school and grade level, checking if existing resources already meet their needs\u2014helping to avoid duplication and unnecessary spending.<!-- \/wp:list-item --><!-- wp:list-item --><\/li>\n<li><strong>Formal Ticketing:<\/strong>\u202fIf a new tool is still needed, teachers submit a ticket (via Incident IQ), providing details like vendor privacy policies and evidence of conversations with the vendor.<!-- \/wp:list-item --><!-- wp:list-item --><\/li>\n<li><strong>Layered Review<\/strong>:\u202fPrincipal approval is required, followed by evaluation by content coordinators to ensure alignment with standards. The application review team then uses the 1EdTech rubric to assess privacy, security, advertising, data sharing, and instructional value.<!-- \/wp:list-item --><!-- wp:list-item --><\/li>\n<li><strong>Transparency:<\/strong>\u202fApproved or denied apps (with reasons) are published to a public dashboard, so teachers, parents, and the whole community can see what\u2019s in use and why.<\/li>\n<\/ul>\n<p><!-- \/wp:list-item --><\/p>\n<p><!-- \/wp:list --><!-- wp:heading --><\/p>\n<h2 id=\"h-vendor-expectations-amp-ongoing-monitoring\" class=\"wp-block-heading\">Vendor Expectations &amp; Ongoing Monitoring<\/h2>\n<p><!-- \/wp:heading --><!-- wp:paragraph --><\/p>\n<p>Fayette County is serious about holding vendors to high standards. Every app, free or paid, goes through the 1EdTech rubric, with close scrutiny on privacy policies, data collection, security measures like two-factor authentication, and whether there are ads aimed at students (which is an automatic \u201cno\u201d). The district even asks vendors to sign its own privacy policy, and will work directly with them to make necessary changes before moving forward.<\/p>\n<p><!-- \/wp:paragraph --><!-- wp:paragraph --><\/p>\n<p>But the work doesn\u2019t stop at approval. Fayette County leverages the <a href=\"https:\/\/www.lightspeedsystems.com\/en_au\/products\/lightspeed-digital-insight\/\" target=\"_blank\" rel=\"noreferrer noopener\">Lightspeed Insight\u2122<\/a> dashboard to stay on top of changing vendor privacy policies. If a vendor introduces new advertising or changes how data is handled, the team is alerted right away and can react quickly, turning off or restricting resources as needed.<\/p>\n<p><!-- \/wp:paragraph --><!-- wp:heading --><\/p>\n<h2 id=\"h-building-trust-with-the-community\" class=\"wp-block-heading\">Building Trust with the Community<\/h2>\n<p><!-- \/wp:heading --><!-- wp:paragraph --><\/p>\n<p>Transparency is key. Fayette County\u2019s public-facing dashboard allows teachers, parents, and the community to see exactly which apps are approved, denied, or in review, along with rationales and grade-level designations. Teachers are required to check this dashboard before submitting new requests, and the district regularly hosts parent nights and participates in Data Privacy Week to keep families informed and engaged.<\/p>\n<p><!-- \/wp:paragraph --><!-- wp:heading --><\/p>\n<h2 id=\"h-roi-and-smarter-spending\" class=\"wp-block-heading\">ROI and Smarter Spending<\/h2>\n<p><!-- \/wp:heading --><!-- wp:paragraph --><\/p>\n<p>A structured vetting process doesn\u2019t just protect privacy. It saves money. By tracking app usage through Lightspeed Insights, Fayette County identified underused resources and cut $140,000 in spending on a tool barely being used.
